Executive Assistant / Personal Assistant to the CEO

Position: Executive Assistant / Personal Assistant to the CEO

We are recruiting for an experienced Executive Assistant / Personal Assistant to the CEO to provide high-level executive and personal support within a fast-paced, privately owned business environment.

This is not a traditional administrative role. The successful candidate will work closely with a decisive, fast-moving CEO and must be able to anticipate needs, manage competing priorities, communicate concisely and ensure that important tasks and decisions are followed through.

The Role
  • Manage the CEO's calendar, meetings, travel, commitments and priorities
  • Track decisions, instructions and follow-up items through to completion
  • Act as a key filter and point of contact between the CEO and internal/external stakeholders
  • Anticipate the CEO's needs, identify gaps and keep priorities moving forward
  • Coordinate confidential business and personal matters with complete discretion
  • Manage travel planning, logistics, appointments and reservations
  • Prepare concise briefings, summaries, reminders and action lists
  • Manage and follow up on expense claims and administrative submissions
  • Keep the CEO informed with timely, relevant and action-oriented updates
  • Provide both Executive Assistant and Personal Assistant support as required
The Ideal Candidate
  • Previous experience as an Executive Assistant, Personal Assistant, Executive Office Coordinator, Office Manager or senior administrative professional
  • Experience supporting a CEO, Managing Director, owner, principal or other senior executive
  • Fast, highly organized and extremely responsive
  • Calm and composed when working under pressure
  • Confident and professionally assertive, with the ability to respectfully challenge or push back when necessary
  • Emotionally mature, resilient and not easily offended
  • Highly discreet and comfortable handling confidential information
  • Excellent judgment and stakeholder management skills
  • Detail-oriented while being able to communicate in a clear, concise and practical manner
  • Solutions-focused with a strong sense of urgency and follow-through
Preferred Experience

Experience within a fast-paced private sector, hospitality, investment, legal, finance, real estate, development or family office environment would be an advantage.

Travel Requirements
  • Must be able to travel internationally at short notice in support of the CEO
  • Valid passport required
  • Existing travel eligibility for key destinations, including the United States and United Kingdom, is strongly preferred
  • Candidates with valid US and UK visas or the ability to travel to these destinations without delay will be highly regarded
Additional Details
  • Generally Monday–Friday
  • Flexibility is required, as working hours may need to adjust based on the CEO's schedule and business requirements
  • This is a highly trusted position requiring discretion, adaptability, resilience and excellent judgment
